WhatsApp Blast Center & Invitation Management

The WhatsApp Blast Center enables event organizers to configure invitation templates, link sender WhatsApp devices, and launch automated bulk broadcast campaigns with real-time delivery tracking.

1. Configuring Invitation Templates (Settings -> Event Settings -> WhatsApp Tab)

Manage default message formats and category overrides under Settings -> Event Settings (select the WhatsApp tab):

  • Quick Template Presets: Choose your event type (Wedding, General, Corporate, Seminar, Birthday) and pick pre-built preset templates to automatically populate recommended message wording.
  • Default Invitation Template: Customize the main invitation text using dynamic placeholders:
    • {nama_tamu}: Guest's full name.
    • {link_rsvp}: Guest's personal online RSVP confirmation link.
    • {nomor_meja}: Assigned table number or seating zone.
    • {kategori}: Guest category name (e.g. VIP, Family).
  • Category Overrides: Click "Add Category Template" to write custom message variations for specific guest groups (e.g., dedicated VIP wording or vendor instructions). Override tabs will appear alongside the default template.

2. Connecting Sender Devices (Operations -> WhatsApp Blast Center -> Device Management)

Link one or multiple sender numbers directly inside Operations -> WhatsApp Blast Center:

  1. Navigate to Operations -> WhatsApp Blast Center and click the Device Management / Sync Devices icon button in the header.
  2. Click "Add New Whatsapp". A pairing QR code will display on your screen.
  3. Open WhatsApp on your sender smartphone, go to Linked Devices, and tap Link a Device.
  4. Scan the QR code on your screen. Once linked, the device status updates to Connected & Ready.
  5. Multi-Device Load Balancing: Connect multiple sender numbers to distribute large broadcast queues evenly across devices.

3. Launching & Monitoring Campaigns (Operations -> WhatsApp Blast Center)

Run and track bulk invitation campaigns under Operations -> WhatsApp Blast Center:

  1. Click "Create Campaign" to configure a new blast:
    • Target Guest Filtering: Select target categories (e.g. "VIP only" or "All Guests"). Enable "Skip Already Sent" to prevent duplicate blasts, or "Skip Confirmed" to target unconfirmed guests only.
    • Template Selection: Choose the default template or a category override template.
    • Schedule: Set an immediate start time or schedule for a future date/time.
  2. Live Campaign Analytics & Details:
    • Stat Rollups: View real-time counters for Total Recipients, Sent, Delivered, Read, Failed, and Pending.
    • Recipient Verification Log: Track individual guest delivery status, WhatsApp number validation (Valid, Not Registered), assigned sender device ID, sent timestamp, and detailed failure error messages.
    • Campaign Controls: Pause, resume, or cancel active broadcasts as needed.

4. Best Practices & Anti-Ban Delivery Strategies

To protect your WhatsApp sender numbers from being flagged or banned by WhatsApp algorithms when sending large volumes of invitations, strictly follow these operational guidelines:

  • Delivery Speed Mode (Moderate / Slow): Always choose Moderate or Slow delivery speed for bulk broadcasts. Avoid aggressive/fast sending speeds, as unnatural bursting of outbound messages is the primary trigger for automated WhatsApp spam detection.
  • Use Multiple Sender Devices for Large Events: For events with hundreds or thousands of guests, link multiple WhatsApp sender numbers (`Sync Devices`). The system automatically distributes the broadcast workload across all connected numbers, keeping individual message velocity safe.
  • Grouped Guest Lists & Wave Blasting: Organize your guest list into structured groups (e.g. by category such as VIP, Family, Colleagues, or Batch 1 & 2). Send your invitation campaigns gradually in waves rather than blasting your entire guest list all at once.
  • Strict 1 Campaign Per Number Rule:
    • Single Active Campaign: Never run multiple simultaneous campaigns on the same sender number at the same time.
    • Multi-Campaign Concurrency: If you need to run concurrent campaigns, ensure each campaign uses a distinct, separate sender WhatsApp number to prevent queue collisions and account bans.
⚠️ Delivery Safety & Throttling: The system automatically inserts random time intervals between outgoing messages to comply with anti-spam rate limits. Keep your sender phone online and connected to the internet during active blasts.
