Souvenir & Gift Tracking

The Souvenir module ensures a fair and secure distribution of wedding favors or conference goodies, preventing guests from claiming multiple gifts using duplicate scan attempts.

Assigning Souvenirs to Guests

  1. Go to the Souvenir configuration page in the dashboard.
  2. Set up your gift packages and specify the default gift count per invitation (e.g., 1 souvenir per RSVP group or 1 souvenir per individual checked-in head).

Redeeming Souvenirs on Arrival

The handout flow is integrated directly into the check-in screen:

  1. When a staff member scans a guest's QR code, the screen displays a prominent "Souvenir Claim Status" indicator.
  2. If the guest is eligible and hasn't claimed a souvenir, the button shows "Hand Out Souvenir".
  3. Tap the button or scan the QR code at the souvenir desk to redeem. The status instantly changes to Claimed in the database.

Preventing Duplicate Souvenir Claims

  • If the same QR code is scanned again at the souvenir desk, the system displays a bright red warning: "Souvenir Already Claimed at [Timestamp] by Gate [X]".
  • This protects your inventory from duplicate claims, ensuring you have enough favors for every guest.
💡 Setup Tip: If your event lobby is large, set up a dedicated Souvenir Redemption Desk separate from the check-in counter to keep the check-in queue moving fast.
