QR Code Check-In & On-Site Operations

On the day of your event, the QR Code Check-In system ensures guests register rapidly. The process takes less than 2 seconds per guest, avoiding long queues at the lobby.

Setting Up Check-In Terminals

  1. Assign a staff member or usher to each registry desk (gate).
  2. Open the web browser on their smartphone, tablet, or laptop and navigate to Operations -> Staff Scanner in the dashboard.
  3. Log in using the staff credentials created in the dashboard.
  4. Grant the browser permission to access the device's camera (or connect a USB/Bluetooth hardware barcode scanner beam).

Scanning the QR Code

  • When a guest arrives, they present their QR Code (from their phone or printed card).
  • Staff points the scanner camera at the QR code.
  • Instant Validation:
    • Green Screen / Chime Sound: Success! The screen displays the guest's name, category, confirmed pax count, and assigned table number.
    • Gold Screen / VIP Alert Sound: High-profile VIP guest arrival! Highlights category and sends a notification to designated PIC hosts.
    • Red Screen / Warning Sound: Duplicate check-in or invalid QR code. Prevents gate double-entry.

Manual Check-In Lookup

If a guest forgets their QR code or has a flat phone battery:

  1. Click the Search tab on the scanner screen.
  2. Type the guest's name or phone number.
  3. Select the guest from the list, confirm their attendance, adjust the attending pax count if necessary, and click "Check-In".
⚠️ System Requirement: All scanner devices must be connected to a stable internet connection (WiFi or mobile data) to ensure real-time synchronization between registration desks.
